Event Strategy

Before anything is booked, we work out what the event is actually for. Strategy is the difference between a night that looks expensive and a night that changes something.

Overview

Concept development, planning and creative direction.

Most briefs arrive as a date, a headcount and a feeling. Our first job is to turn that into a decision you can defend: who the event is for, what they should leave believing, and what the room has to do to get them there.

We run a structured discovery with the people who own the outcome — not only the people who own the budget. From that we write a creative platform: one idea, expressed in a sentence, that every later decision can be measured against. If a chandelier, a speaker or a canapé does not serve that sentence, it does not make the cut.

Included 3 commitments

What this actually
means in practice.

  • 01

    One idea, written down

A single-sentence creative platform every supplier is briefed against.

  • 02

    Budget in three shapes

Lean, recommended and expanded, so the trade-offs are visible before you commit.

  • 03

    Measurable outcomes

Agreed metrics — attendance, dwell, pipeline, sentiment — set before we design anything.

Process 6 stages

How a event strategy engagement runs.

  1. 01 Discover — 12–9 months out A structured brief with the people who own the outcome. Objectives, audience, constraints and the number nobody wants to say out loud.
  2. 02 Imagine — 10–8 months out Creative platform, format and narrative arc. One idea, written in a sentence, that every later decision is measured against.
  3. 03 Design — 9–6 months out Elevations, floor plans, lighting states and menus. You see the room at eye height before anything is ordered.
  4. 04 Plan — 6–2 months out Suppliers contracted, permits filed, run sheet drafted. The critical path is agreed and tracked weekly from here.
  5. 05 Produce — Event week Load-in, build, technical rehearsal and cue-to-cue. By the final rehearsal, nothing on the night is being attempted for the first time.
  6. 06 Celebrate — Event day The show is called from front of house. Our team is visible to the crew and invisible to your guests.

We had run this gala nine times and it had stopped surprising anyone, including us. Evoque rebuilt it around one idea and it raised more in a night than the previous two years combined.
