Frequently asked 12 questions
Answers,
in plain terms.
How far in advance should we book?
For a large wedding or a conference over 500 delegates, twelve months is comfortable and nine is workable. Below 200 guests we have delivered excellent events in four months. The real constraint is rarely us — it is venue availability on peak dates and the lead time on anything fabricated.
Do you handle destination events?
Yes, and it is a significant part of our work. We travel a core production team to every destination event and appoint a vetted local partner for hands, hire and permits. Critical equipment and irreplaceable décor travel with us; everything replaceable is sourced locally.
Can you work with our existing vendors?
Often, yes. We will review any supplier you want to keep, brief them to our run sheet and hold them to our timings. If we think a supplier cannot deliver at the scale required, we will say so early and in writing rather than discover it on the day.
Do you provide décor, or do you sub-contract it?
Our design team is in-house and draws every scheme in elevation before anything is ordered. Bespoke structures — arches, bars, backdrops, suspended installations — are fabricated in our own workshop in Kochi. Floral sourcing and installation are managed by us with regular growers.
Do you manage event production, or just planning?
Both, and we prefer to do both. Our production team specifies staging, audio, lighting, video and power to the actual room, issues rigging plots and power budgets to the venue in advance, and runs a technical rehearsal for every event with a stage.
Can you manage corporate conferences?
Yes — multi-track agendas, speaker onboarding, deck management, registration, badging, interpretation and post-event reporting. Our largest single conference to date was 1,400 delegates across four parallel tracks.
Do you provide entertainment?
We hold direct relationships with performers across India, the Gulf and Europe, and we handle contracting, riders, visas, freight and accommodation. More importantly, we programme entertainment against the run sheet so the energy of an evening climbs rather than stalls.
Can you help us select a venue?
Yes, and we survey every venue we recommend rather than working from a brochure. You receive a comparative report covering capacity by layout, rigging and power, kitchen capability, load-in access, curfew and the wet-weather alternative — then we negotiate the contract as your agent.
Do you offer custom packages?
Our three packages are starting points, not a menu. Most engagements end up somewhere between two of them. Tell us what you need and we will scope to that rather than push you into a tier.
How does your planning process work?
Six stages: Discover, Imagine, Design, Plan, Produce, Celebrate. Discovery sets objectives and constraints; Imagine produces a one-sentence creative platform; Design gives you elevations and floor plans; Plan contracts suppliers and builds the run sheet; Produce is build and rehearsal; Celebrate is the event itself, called from front of house.
What information do you need to prepare a proposal?
Four things get you a meaningful proposal: an approximate guest number, a date or a window, a location or region, and a budget range. Everything else we can work out with you. Without a budget range we can only guess, and a guess wastes both our time.
Do you manage guest registration and RSVP?
Yes, as a managed service with a real inbox and a real phone line — so guests who reply by calling get the same treatment as guests who click. That extends to accreditation, badging, seating, place cards and on-site guest handling.
